Content Red Lines: What Triggers Risk Control
Zalo's review of business content is stricter than for regular social accounts, especially for industries like finance, healthcare, recruitment, and adult products. Here are three common triggers:
- Absolute language: Terms like "best," "number one," or "100% effective" are flagged by the system in both Vietnamese and Chinese contexts.
- Incentivized sharing or following: For example, "Share to 5 groups to receive a gift" is identified as engagement manipulation.
- Hidden links or redirects: Embedding URLs in images or using short links to redirect to external pages increases the chance of detection.
Before each post, check from a "user perspective": If I were a regular user, would I find this message annoying? If the answer is "yes," revise it again.
Sending Frequency: How Many Messages Per Day Are Safe
Zalo OA does not publish a hard number for sending frequency, but based on long-term operational experience, the following frequencies are relatively safe:
- First 2 weeks for new accounts: No more than 1 broadcast per day, and only to authorized users.
- Stable period (over 5,000 followers): 2-3 messages per day, with at least 4 hours between each.
- Promotional campaigns: No more than 4 messages per day for 3 consecutive days, followed by a mandatory 1-day pause.
A key check: If the unsubscribe rate for a single message exceeds 2%, or the complaint rate exceeds 0.5%, immediately reduce frequency and review whether the content is too promotional.
User Authorization: The Prerequisite for Legal Reach
Zalo requires businesses to send messages only to users who have actively authorized (e.g., scanned a QR code to follow, clicked a menu, or submitted a form). Here are three authorization essentials to implement:
- Keep authorization records: Each time a user authorizes, the system generates a timestamp. Export and save these records for use in appeals.
- Distinguish "authorized" from "unauthorized": When sending broadcasts, use the "audience filter" feature in the Zalo OA dashboard to select only "authorized" users.
- Provide an unsubscribe option: Include an "unsubscribe" link at the end of every broadcast. This is a basic compliance requirement and also reduces complaint rates.
If your account is mistakenly banned, providing authorization records and sending logs during the appeal can significantly increase your chances of success.
5 Daily Anti-Ban Checkpoints
- Check the "message delivery rate" daily; if it falls below 80%, investigate whether your messages are being marked as spam.
- Clean out "zombie followers" (no interaction for over 30 days) weekly to reduce ineffective sends.
- Compress images before sending to avoid system blocks due to large file sizes.
- Review "content types" monthly; if pure promotional content exceeds 60%, add value-added or interactive content.
- After any account information changes (avatar, bio), pause sending for 1 day to allow the system to re-review.
These 5 points may seem simple, but they cover most causes of accidental bans. Print them out and keep them at your workstation, and review them before every operation.
Appeal Process After an Accidental Ban
If your account is restricted, don't panic. Follow these steps:
- Log in to the Zalo OA dashboard and find the "Help Center" or "Contact Support" entry.
- Prepare materials: account ID, sending logs from the last 7 days, and screenshots of user authorization records.
- Submit a ticket in Vietnamese or English, stating "Account was mistakenly flagged, requesting manual review."
- Wait 1-3 business days; during this time, avoid frequent logins or sending test messages.
Be sincere in your appeal, avoid blaming the platform, and emphasize that "we have always followed the rules."
